Hotel accommodations and reservations

The hotel reservation deadline has now passed.  You may contact the hotel directly to make changes to your reservation(s).   A list of hotel phone numbers is provided in the link below. 

If you have not yet made a hotel reservation for the meeting, you may do so by clicking the link below.  Please note, AAD discounted meeting rates can no longer be guaranteed. 

NEW! Hotel guarantee, cancellation, and change policies

Hotel reservation guarantee policy

Reservations must be guaranteed with a credit card. The credit card expiration date must be later than March 31, 2014. The card provided will be charged a one (1) night’s room and current sales tax deposit the week of March 3, 2014.

Hotel reservation cancellation policy

Before Wednesday, Feb. 12, 2014 at 12 p.m. (CT) a $100 per reservation cancellation fee will be processed to the credit card listed for your guarantee. This fee is applicable regardless of cancellation reason or method.

After Wednesday, Feb. 12, 2014, 12 p.m. (CT), one (1) night’s room and current sales tax per reservation will be processed to the credit card listed for your guarantee (see Hotel reservation guarantee policy above). This fee is applicable regardless of cancellation reason or method.

Starting March 3, 2014, you may contact the hotel directly for changes and cancellations. Phone numbers for the main host hotels will be posted on the AAD website.

Failure to check in on the scheduled date of arrival will result in the “no-show fee” of one (1) night’s room and current sales tax and cancellation of the reservation.

Hotel reservation changes

Before Wednesday, Feb. 26, 2014 at 12 p.m. (CT) changes can be made online by clicking the link provided in the “Change” section of your confirmation letter or the “Already registered” section of the registration website.

Between Wednesday, Feb. 26, 2014 and Monday, March 3, 2014 reservations are being transmitted to the hotels. No changes or cancellations to hotel reservations will be accepted during this time period.

Starting March 3, 2014, until check-in changes need to be made directly with the hotel.

Arrival and departure date changes will be accepted until hotel check-in date and are based on hotel availability.

Switching hotels after Feb. 26, 2014 will result in the loss of the one (1) night's room and current sales tax deposit.
